Cloud plans and billing

The Free and Pro plans on opendesk Cloud, seats, the AI balance in US dollars, AI top-ups, auto-recharge and downgrades.

Billing applies only to opendesk Cloud. Self-hosted opendesk has no plans, no limits and no billing.

Every feature is on every plan. Plans differ only in limits.

Plan Price Mailboxes Members AI usage per month
Free $0 per workspace, forever 1 1 $0.50 per workspace
Pro $18 per seat per month unlimited unlimited $10 per paid seat, pooled
Self-hosted free unlimited unlimited unlimited, with your own AI key

Owners and admins manage billing in Settings, Plan and billing.

  1. Current plan: your plan, seats, price and renewal date.
  2. AI balance: what is left to spend on AI this month, and where to add a top-up.
  3. Auto-recharge: buys top-ups for you when the balance runs low.
  1. Seats: members with the owner, admin or agent role each take a seat. Viewers are free. When members join, leave or change role, the seat count updates on its own, prorated.
  2. Price: $18 per seat per month on Pro. Pro can also be billed yearly when a yearly price is offered.
  3. Manage billing: opens the billing portal for the payment method, invoices, tax ids and cancellation.

On Free, Upgrade to Pro opens a secure checkout. Prices at checkout include tax where it applies. On Free, the member limit counts all members plus pending invitations, and the owner is the one member.

AI features are paid from the workspace’s AI balance, in US dollars. It is the monthly allowance plus any top-ups.

  1. Remaining: everything you can spend right now.
  2. Monthly allowance: $0.50 a month on Free, or $10 per paid seat on Pro, shared across the workspace. Five seats give $50 a month. It resets at the start of each calendar month (UTC).
  3. Allowance left and Top-ups left: top-ups are spent after the allowance, and never expire.
  4. Add a top-up: buys $10 of AI usage for $10, dollar for dollar. Choose 1 to 20 at once.
  • Charged on real cost. Each AI call is charged what it cost the provider, at the model’s list price, times 1.5. A pricier model, a longer thread or a longer answer costs more. Settings, AI shows what typical calls cost on your models; see AI usage on Cloud.
  • Starting a call. A call starts only when the balance covers its estimate: the prompt at the model’s input price plus the longest answer it may write (counted up to 4,000 tokens) at the output price, times 1.5, and at least $0.01. Otherwise the feature asks you to top up, and the call is not made.
  • A failed AI request costs nothing. Search indexing is free.
  • Your own key costs $0. A workspace that runs its AI on its own provider key pays its provider directly. Only the decision model’s triage and automation decisions still use a little of the AI balance.

When the balance runs out, AI features ask you to top up, and the AI agent goes quiet and leaves conversations to your team until there is balance again.

  1. Switch it on

Under Auto-recharge, turn the switch on. It needs a saved payment method; add one with Manage billing first if you have none.

  2. Set when and how much

    1. On: the line under it says what will happen, such as “Recharge 1 top-up ($10) when the balance falls below $2.00.”
    2. Recharge below: the balance that triggers a recharge, $2 by default.
    3. Top-ups per recharge: 1 to 20, $10 each.
    4. Monthly limit: at most 1 to 30 recharges a month, 5 by default. Then it waits for next month.

Each recharge must bring the balance back above the threshold.

AI usage shows the spend for a date range by day, and broken down by feature, member and model.

Owners and admins are told at most once a month:

  • when the balance is running low: below the auto-recharge threshold, but never more than a fifth of the monthly allowance (at least $0.05);
  • when it is used up: below $0.01, so no AI call can start.

Any top-up or recharge resets both notices. Both arrive in the app and, by default, by email (notification settings).

  • If a payment fails, Pro stays active while it is retried.
  • If the subscription ends (canceled or unpaid), the workspace returns to Free.
  • Nothing is deleted on a downgrade. Existing mailboxes and members stay. Creating new ones is refused until the workspace is within the Free limits.

A self-hosted instance runs the same code with billing off: every workspace is on the self-hosted plan with unlimited mailboxes, members and AI use, paid for with your own AI provider key.
